Governance

Rules & Regulations

These rules govern the conduct, rights, and responsibilities of all Collabogig Innovations community members. By joining, you agree to uphold them.

Important: These rules apply to all members of the Collabogig Innovations community — including general members, state executives, and national executives. Ignorance of these rules is not an excuse for non-compliance.

1. Membership

  • 1Membership is open to all individuals who share Collabogig's vision of using technology to solve real problems across Africa.
  • 2Members must register on the platform with accurate personal information. Impersonation or false identity will result in immediate removal.
  • 3There are two membership tiers: General Members and Executive Members. Executive positions are appointed or elected through the official voting process.
  • 4Members must be at least 16 years of age to join. Members under 18 must have parental or guardian consent.
  • 5Membership may be suspended or revoked for violation of these rules, misconduct, or actions that bring Collabogig into disrepute.

2. Code of Conduct

  • 1All members must treat each other with respect, dignity, and professionalism at all times — online and offline.
  • 2Discrimination of any kind based on gender, tribe, religion, age, or background is strictly prohibited.
  • 3Harassment, bullying, intimidation, or threatening behaviour toward any community member will result in immediate suspension pending review.
  • 4Members must not spread misinformation, fake news, or content that misrepresents Collabogig Innovations.
  • 5Members are encouraged to disagree respectfully. Healthy debate is welcome; personal attacks are not.
  • 6Any content shared in community channels must be relevant, respectful, and constructive.

3. Community Participation

  • 1Members are expected to actively contribute to the community — through projects, events, discussions, or mentorship.
  • 2Members who remain inactive for more than 6 consecutive months without notice may be removed from active member records.
  • 3All members must attend at least one community event or meetup per quarter to maintain active status.
  • 4Monthly Committee Meetups are open to all members. Executive members are expected to attend unless prior notice is given.
  • 5Members who join project teams must fulfill their assigned responsibilities. Abandoning a project without communication is considered a breach of community trust.

4. Projects & Intellectual Property

  • 1Products built collaboratively by the Collabogig community are the shared intellectual property of Collabogig Innovations unless otherwise agreed in writing.
  • 2Members who contribute to a project retain credit for their contribution, which will be documented and acknowledged publicly.
  • 3No member may commercialise, sell, or redistribute community-built products without formal approval from the National Executive Committee.
  • 4Members must not plagiarise, copy, or present others' work as their own in any community project or training programme.
  • 5External projects brought to Collabogig for community building must have a clear agreement on ownership, compensation, and attribution before work begins.

5. Training Programmes

  • 1Training cohorts are organised annually and may be sponsored by partner organisations. Enrollment is open to all who express interest.
  • 2Trainees are expected to attend all sessions consistently. More than two unexcused absences may result in removal from the cohort.
  • 3Training materials provided by Collabogig are for personal learning only and must not be redistributed or sold.
  • 4Trainees who complete a programme in good standing are eligible to join active project teams and the Collabogig developer network.
  • 5Certification is awarded only to trainees who complete all programme requirements, including assessments and project submissions.

6. Executive Conduct

  • 1All executives — national and state — must lead by example and uphold these rules to a higher standard than general members.
  • 2Executive positions carry public trust. Any misconduct by an executive reflects on the entire organisation and will be treated with utmost seriousness.
  • 3Executives must declare any conflict of interest before voting on matters where they have a personal stake.
  • 4Executive decisions made outside of proper voting or approval processes are not binding on the organisation.
  • 5Executives who fail to fulfil their role responsibilities for two consecutive months may be subject to a vote of no confidence.

7. Meeting Conduct & Attendance

  • 1All executives must confirm attendance at least 2 hours before any scheduled meeting. Silence is not confirmation.
  • 2If you cannot attend a meeting, you must notify the Secretary General before the meeting begins — not after, and not during.
  • 3Your device must be charged to at least 80% before joining any virtual meeting. Low battery is not an acceptable reason for leaving a meeting early.
  • 4Test your internet connection before joining. Network failure does not excuse an unannounced exit — rejoin immediately or send a message to the group.
  • 5Once you join a meeting, you are committed for its duration. Do not leave without announcing your departure in the group.
  • 6If you experience a disconnection, you have 5 minutes to rejoin before you are marked absent. If you cannot rejoin, send a message to the group immediately explaining why.
  • 7Joining a meeting late without prior notice counts as a minor infraction. Habitual lateness will be treated as a pattern of disrespect.
  • 8If an executive misses a meeting, they must read the minutes shared by the Secretary General within 24 hours and send a written acknowledgement.
  • 9No executive may claim ignorance of decisions made in a meeting they did not attend.
  • 10The Secretary General is responsible for sending meeting minutes within 48 hours of every meeting. Failure to do so is also a disciplinary matter.

8. Disciplinary Framework

  • 1Disciplinary action exists to protect the organisation and its members — not to punish individuals. It is applied fairly and consistently.
  • 2Level 1 — Verbal Warning: Issued for a first minor offense (e.g., leaving a meeting without notice, late confirmation, non-response within 24 hours). Logged by the Secretary General.
  • 3Level 2 — Written Warning: Issued after a second minor offense or a first serious offense (e.g., absence without prior notice, missing a meeting with no acknowledgement). Must be acknowledged in writing by the recipient.
  • 4Level 3 — Suspended Voting Rights (30 days): Issued after two written warnings in a single month, or for a single serious breach of trust. The executive remains in role but cannot vote during the suspension period.
  • 5Level 4 — Leadership Review: Triggered by three offenses in a season (3-month period). The NEC reviews the executive's performance and decides whether they continue in their role.
  • 6Level 5 — Removal from Position: Applied for habitual absence (3 or more unexcused absences), gross misconduct, financial misappropriation, or a successful vote of no confidence. The position is declared vacant and re-elected.
  • 7Any executive may appeal a disciplinary decision to the Founder within 7 days of notification. The Founder's decision is final.
  • 8Disciplinary records are confidential and maintained by the Secretary General. They may be referenced in future leadership reviews.
  • 9An executive who resigns before a disciplinary process is complete forfeits the right to appeal and the record stands.

9. Communication Standards

  • 1All official decisions must be communicated in the designated group channel — not in private chats between individuals.
  • 2All executives must respond to official messages within 24 hours. Failure to respond is treated as non-participation.
  • 3No executive may speak on behalf of Collabogig Innovations in public (social media, press, events) without prior approval from the Founder or Coordinator.
  • 4All executive correspondence must remain professional in tone. Public disputes between executives are a serious reputational risk and will be treated as misconduct.
  • 5Group meetings must have a written agenda shared at least 24 hours in advance by the Coordinator or Secretary General.

10. Voting & Governance

  • 1The Collabogig voting system uses a weighted model. The Founder/CTO carries 3x vote weight. All National Executive Committee members carry 2x. State Executives carry 1x–1.5x. General verified members carry 0.5x.
  • 2Poll results are revealed only after the voting deadline has passed to prevent undue influence.
  • 3The Founder holds veto power over any community decision, exercisable with a documented reason.
  • 4Any decision affecting the founding charter, platform direction, or financial commitments above ₦500,000 requires a minimum of the Founder plus three NEC votes.
  • 5Executive positions may be voted upon annually. Any member in good standing may be nominated for a state executive position.

11. Donations & Finance

  • 1All donations received by Collabogig Innovations are used exclusively for community purposes: training, events, infrastructure, and product development.
  • 2The General Secretary and Coordinator are jointly responsible for maintaining transparent financial records.
  • 3A financial report must be presented at every quarterly committee meeting.
  • 4No individual executive may authorise personal use of community funds. Any misappropriation will result in immediate removal and potential legal action.
  • 5Sponsorship agreements must be reviewed and approved by the National Executive Committee before signing.

12. Amendments

  • 1These rules may be amended by a formal vote requiring the Founder's approval plus a majority of the National Executive Committee (NEC).
  • 2All members will be notified of any changes to these rules at least 14 days before they take effect.
  • 3These rules were last updated: April 2025.
